Save As PDF Greyed Out

1.) It could be permissions related, as users need “full” control (read, write and modify checked) on the Essential Forms program and data folders. Try to right-click on the Essential Forms shortcut and click Run as Administrator. Then, see if File>Save As PDF is available as an option.

2.) If you're working in Essential Forms remotely, across a virtual private network (VPN) or Remote Desktop Protocol (RDP), it's possible a remote printer is being called to print as PDF, rather than the local PDF printer we use MS Publisher Imagesetter, when clicking File>Save As PDF.

3.) Try and reinstall the latest Judicial Council Update installing to the default locations. Then, try to File>Save as PDF in Essential Forms.

4.) Printers and Scanners Settings

a.) Type in the Type here to search window, "Printers and Scanners", in the Settings>Printers & scanners window check and see if you might have other printers or PDF printers listed that might be interfering with the print pdf device we use, MS Publisher Imagesetter. Check if any of the Printers listed have jobs stuck in the queue or are in an error state. Extraneous, outdated or unused printers in the list could be jamming up the printer functionality. Make sure the desired printer you use is set as the Default. Click on the desired default Printer, click Manage and then click Set as default.

b.) Still under Settings>Printers and Scanners, check and see if you have a “MS Publisher Imagesetter” printer under the list of Printers. It could an issue with the MS Publisher Imagesetter PDF printer we use to convert the documents into PDF. Possibly it’s stuck in an error state or been removed accidentally. That’s what we use to convert forms to PDF’s. If you don’t see it in the list or it might have been accidentally deleted you can click on “MS Publisher Imagesetter” click Manage, then Run the Troubleshooter.

Microsoft will ask you to make “MS Publisher Imagesetter” the default printer you can click "No". Once the troubleshooter finishes restart your computer.

Now try to open Essential Forms and click File>Save As PDF.

c.) If you’re still not seeing the MS Publisher Imagesetter under Start>Devices and Printers you can manually install The MS Publisher Imagesetter.

  • Step 1:

From the START menu, go to

Control Panel, then click on Printers and Faxes.

  • Step 2:

In the left hand column under “Printer Tasks,” Click on Add a Printer.

  • Step 3:

The “Welcome to the Add Printer Wizard window will appear. Click "Next".

  • Step 4:

On the next window, make sure Local printer attached to this computer” is selected, and that the “Automatically detect and install” box is unchecked, then click "Next".

  • Step 5:

On the next window, make sure “Use the following port” is selected, and select “File: (Print to File).” Click "Next".

  • Step 6:

On the next window, choose “Generic” under “Manufacturer” and choose “MS Publisher Imagesetter” under “Printers.” Click "Next".

  • Step 7:

On the next window, keep the name of the printer, and click "No", for default printer. Click "Next"

  • Step 8:

Answer “No” to “Do you want to print a test page?” Click "Next".

  • Step 9:

Click "Finish".

Once the troubleshooter finishes restart your computer.

Now try to open Essential Forms and click File>Save As PDF. If that doesn't work try the next option.

5.) Work around

In EF with a form open, click File>Print Form. Click the drop-down arrow next to Name in the Print window:

You should have another printer to select that would save as pdf:

-Adobe PDF

-Microsoft Print to PDF

-Microsoft XPS Document Writer

Select one of those alternate PDF printers and click OK.

You might have to add a form name when saving as pdf now.
